Digital Learning Tools

Digital tools can support learning by helping students access resources, work with others, stay engaged, and build skills for the future.

Ontario has introduced a new regulation under the Enhancing Digital Security and Trust Act, 2024. It requires school boards to tell parents, guardians and caregivers when a student’s personal digital information will be shared with a third-party software application.

This notice explains which digital tools children and youth are using in the classroom and what personal information those tools are collecting.

The following third-party applications may be used. For each app, this notice explains what personal digital information about the student will be shared and why it is shared:

Aspen

Aspen is provided by Fujitsu Consulting (Canada) Inc. and is used as the Board’s student information system to support student administration, attendance, scheduling, reporting, and educational planning. You can learn more about the app here and review its privacy and security practices here.

Information shared:

  • student legal and preferred name
  • student number and Ontario Education Number
  • date of birth, age and grade
  • sex or gender information maintained by DSBN
  • home address, telephone number and email address
  • parent, guardian and emergency-contact information
  • school, program, classroom, course, timetable and enrolment information
  • attendance, absence and lateness records
  • marks, credits, report-card information and graduation progress
  • language, residency and registration information
  • transportation or dismissal information where maintained in Aspen
  • medical alerts, accommodations and student-support information where authorized
  • special education information, including identification, placement, program and IEP-related information
  • disciplinary, incident or safety-related records where maintained in the system
  • consents and permissions
  • records and identifiers required for Ministry reporting and the administration of education
Brightspace

Brightspace is provided by D2L Corporation and is used as the Board’s learning management system for course content, assignments, assessments, and communication. You can learn more about the app here and review its privacy and security practices here.

Information shared:

  • student name
  • DSBN student number or another unique account identifier
  • DSBN email address and username
  • school, grade and class or course enrolment
  • teacher and course information associated with the student
  • assignments, submissions, discussions and other student-created content
  • assessment results, grades and teacher feedback
  • dates and times of access, course activity and completion information
  • technical information generated when the service is used, such as IP address, browser, device and log information
BusPlanner

Canva for Education

Clever

Clever is provided by Clever, Inc. and is used to provide secure single sign-on and automated rostering between DSBN systems and approved educational applications. It allows students and educators to access approved applications and permits DSBN to control which roster information is provided to each connected application. Google Workspace for Education

  • unique account identifier
  • school, grade, class and course information
  • documents, presentations, spreadsheets, forms, email, calendar entries and other student-created content

  • photographs, audio or video intentionally uploaded or created through an enabled service
  • communications with teachers, students and other authorized users
  • service settings and preferences
  • dates and times of access and service activity
  • technical information such as IP address, browser, device, operating system and service logs
Insignia

  • student number, barcode or another unique library identifier
  • DSBN email address
  • school, grade and homeroom
  • student account status
  • library items borrowed, returned, renewed, reserved or placed on hold
  • due dates, overdue status and replacement or fine information, where applicable
  • reading lists, favourites or reviews if those features are enabled
  • account access and technical log information
Microsoft 365

Microsoft 365 is provided by Microsoft and is used for communication, collaboration, file storage, productivity tools, and digital learning activities. You can learn more about the app here and review Microsoft’s privacy and security practices here.

  • unique account or directory identifier
  • school, grade, class and course information
  • group, class and Teams memberships
  • email, chat, meeting and collaboration content

  • assignment submissions, teacher feedback and assessment information where used
  • photographs, profile images, audio or video intentionally provided through an enabled service
  • calendar and meeting information
  • service activity, sign-in and audit information
  • technical information such as IP address, device, browser, operating system and diagnostic logs
OSBIE Student Incident Reporting

OSBIE Student Incident Reporting is provided by Ontario School Boards’ Insurance Exchange (OSBIE) and is used to document and manage student injury incidents that occur during school activities and to support insurance claims when required. Read&Write

School Cash Online

Sora

Xello is provided by Xello Inc. and is used to support education, career, and life planning. Students can explore their interests and strengths, learn about careers and postsecondary opportunities, and develop goals, plans, portfolios, and course selections.   • service activity and technical log information

Legal Authority: Student personal digital information is collected and shared under the authority of the Education Act, the Municipal Freedom of Information and Protection of Privacy Act and other applicable Ontario laws to support the delivery of education programs and services.

Your Privacy Rights: You and your child may ask questions or raise a concern if you believe personal information has been improperly collected, used, retained, or disclosed. Please contact your school administrator or DSBN’s FOI Coordinator:
